This Guide briefly describes how to distribute a school/local-authority licence for Oribi Speak to users belonging to a Google Workspace domain.

Selecting an organisational unit

You can install Oribi Speak for a specific group of users by creating an organisational unit. (Skip this step if you wish to install Oribi Speak throughout your domain.)

Google has its own guides for how to create an organisational unit and how to move users to an organisational unit. Unless you wish to install Oribi Speak for all users on the domain, make sure that you have created one or several ‘Oribi Speak units’ before you move on in this Guide.

Making sure that Web Store is activated

  1. Log into the Google Workspace Admin Console.
  2. Go to Apps > Additional Google Services.
  3. Select the relevant organisational unit in the left-hand column.
  4. Make sure that Service Status for Chrome webbshop is set to ON for everyone.

Repeat steps 3 and 4 for each organisational unit for which you wish to install Oribi Speak.

Making sure that Chrome Management is activated

  1. Log into the Google Workspace Admin Console.
  2. Go to Devices > Chrome management.
  3. Click on User and browser settings.
  4. Scroll down to Chrome management for signed-in users (usually
    to be found at the bottom, under Other settings).
  5. Unless you are already using the classic version of the Admin
    Console, click on Click here to view or edit this setting.
  6. Select the relevant organisational unit in the left-hand column.
  7. Under Chrome management for signed-in users, select Apply all user policies when users sign into Chrome, and provide a managed Chrome experience.
  8. Click on Save.

Repeat steps 6, 7 and 8 for each organisational unit for which you wish to install Oribi Speak.

Allowing installation

Log into the Google Workspace Admin Console and go to Devices > Chrome management and then to Apps & extensions.

In the left-hand column, you can see which organisational unit you are managing at the moment. Unless you wish to install Oribi Speak for all users on the domain, make sure that you select the correct organisational unit before you move on.
Hover the mouse pointer above the yellow plus sign in the bottom right corner and then click on Add from Chrome Web Store. In the box that appears, search for ‘Oribi Speak’ and click on Select when you have found it (if your search results include two different apps, make sure that what you add is version 2.0).

Users in your Google Workspace organisation will now be able to install Oribi Speak through the Web Store even if your organisation has blocked other extensions.

If you would like Oribi Speak to be shown in your Web Store collection, activate Include in Chrome Web Store collection under Chrome Web Store options.

Please note that it may take 24 hours for Oribi Speak to appear in your Web Store collection.

Allowing all privileges

Depending on the other settings you have chosen for your Google Workspace environment, you may have to grant Oribi Speak additional privileges in order for it to work properly. To be on the safe side, select Allow all permissions under Permissions and URL access.

Remember to click on Save after changing the settings.

Forcing installation

Once you have gone through the steps described under Allowing installation, you can make things even easier for your users by letting Oribi
Speak be installed automatically, either for all users on your domain or for a specific group.
At this point, the overview under Apps and extensions should list Oribi Speak with an installation policy of Allow install. In the left-hand column, you can see which organisational unit you are managing at the moment. Unless you wish to install Oribi Speak for all users on the domain, make sure that you select the correct organisational unit before you move on.

Click on the grey triangle under the installation policy for Oribi Speak to show more options, and select Force installThen click on Save in the top right corner.

All users belonging to your active organisational unit will now automatically have Oribi Speak installed the next time they start Chrome. For Oribi Speak to be installed automatically, the user must be logged into Chrome.
When starting Oribi Speak, information about the domain that the user is logged into will be sent to our server for verification, and the domain will be blocked if you do not have an active service agreement with us.
